Lingerie Order Handover: Who Can Approve?

Short answer: transfer responsibility, not just the email thread

When a buyer leaves a project or covers a colleague’s absence, every unresolved sourcing decision needs an identified successor, a person authorized to approve, the next required evidence and a clearly stated affected step. Ask the incoming owner to confirm that they can access the records and understand the next action. Forwarding a message does not establish that responsibility has been accepted.

This is a suggested buyer-team handover method. It does not describe a guaranteed factory process or change existing commercial agreements. The OEM and private-label overview provides development context; responsibilities and release instructions still need agreement for the actual project.

Distinguish three roles before changing the contact

The evidence owner obtains the missing answer or document. The decision maker has authority within the buyer’s organization to accept or reject the relevant proposal. The communication owner sends the agreed instruction and records the response. One person may hold several roles, but “new purchasing contact” should not silently imply authority over every design or commercial decision.

A supplier can confirm what it proposes or can support. That response is evidence for the buyer’s decision, not the buyer’s authorization. Equally, a teammate acknowledging receipt of the handover has not approved the product. Record these events separately so the next person does not mistake progress for release.

Prepare one transfer record per open decision

  • Stable decision ID; product or SKU; current specification, sample or quote reference
  • Exact unanswered question and last verified status, with date
  • Outgoing owner, incoming evidence owner and authorized decision maker
  • Evidence required next, where it should be saved and who should provide it
  • The buyer action awaiting the decision, plus any supplier hold request requiring confirmation
  • Next review date, time zone and escalation contact if no answer arrives
  • Incoming owner’s acceptance date, communication sent and supplier acknowledgement where needed

Link to the source specification rather than copying an entire lingerie tech pack into this record. The handover explains who will resolve the open point; it should not create a competing specification with slightly different wording.

Worked example: a packaging decision during leave

Suppose a buyer is preparing an enquiry for the chain-strap lingerie harness set, SKU PDD-996238986424. The listing identifies straps, rings and chain details. In this hypothetical case, the buyer has asked whether a proposed internal separation can keep the chain details apart from the textile during packing. No particular protective method is assumed available or proven.

The outgoing buyer creates decision D-07: “Obtain a drawing or sample showing the proposed separation.” The incoming sourcing colleague owns the evidence request; the brand’s packaging reviewer retains approval authority. The blocked buyer action is packaging-artwork release. A supplier request to defer the affected packaging step remains unconfirmed until the supplier acknowledges it.

The incoming colleague opens the linked records, confirms acceptance and restates the next action. When a drawing arrives, they attach it as evidence, not approval. The packaging reviewer identifies what the drawing establishes and whether a physical sample is still needed. Only a recorded decision within that reviewer’s authority becomes the instruction to communicate. The example closes the transfer without pretending that the unresolved packaging question has already been solved.

Reopen stale decisions without rewriting history

Set a review trigger when the underlying sample, material, artwork, quantity basis or quotation validity changes. A previous approval may cover only an earlier reference. Preserve that decision, link the changed input and ask the authorized person whether another review is required. Do not silently carry the old approval onto a new version or treat an internal review date as a cancellation of agreed terms.

If the incoming owner cannot access a file or accept the task, leave the transfer incomplete and escalate to the named backup. If the supplier still addresses instructions to the departing buyer, ask it to acknowledge the new contact and clarify who may authorize which changes.

When is the handover complete?

The transfer is complete when the receiving owner has acknowledged responsibility, can open the current evidence, knows the approval boundary and has a dated next action. The sourcing decision itself can remain open. Keep both statuses visible.

For the supplier-facing portion, send the product reference, current document revisions, new communication contact, exact pending question and any requested hold through the sourcing enquiry channel. Ask what remains unconfirmed. An explicit acknowledgement provides a usable starting point for the next buyer without inventing a production or delivery commitment.
