For a mixed lingerie wholesale inquiry, give every requested style and variant its own line, then connect that line to the supplier SKU and product URL. Keep your store code in a separate field. This lets a buyer and supplier discuss the same item even when product names change across languages or two photographs look similar.
This guide is for a first inquiry containing more than one product category. It helps you identify the requested goods; it does not calculate replenishment demand or confirm that different styles can share a minimum order quantity.
1. Use three references for each line
Record a stable inquiry line number, the supplier SKU and the exact product link. Add your own store SKU if you already use one, but do not replace the supplier reference with it. A screenshot can support the record when it is labeled with that same line number. An unlabeled collage is difficult to reconcile after styles are added or removed.
For example, Black Cutout Low-Rise Thong Panty is listed as RN-SP-442, while the High-Slit Lace Sheer Maxi Dress is PDD-970550137119. These are real catalog references from different categories. Their appearance in one inquiry is not confirmation of availability, a combined MOQ or a shared price.
2. Separate the style from the requested variant
Put color, size and requested quantity in separate fields. Preserve the supplier’s size label until its measurement chart is confirmed; do not silently translate an S into a different market’s numbered size. If a requested color is a development idea rather than a listed option, label it as a request.
Describe a changed strap, fabric, logo or package as a proposed modification. A modified version should have a separate line or revision note so it cannot be mistaken for the original catalog style. Ask whether the change needs a sample and a separate quotation.
3. Write the counting unit beside every quantity
“Twenty” is incomplete without a unit. State whether you mean individual garments, pairs or complete selling sets, and ask the supplier to confirm the definition. Do not add a quantity expressed in sets to one expressed in individual components and label the result “pieces.”
A product photograph does not establish the contents of a selling unit. For PDD-970550137119, confirm separately whether the pictured matching panty is supplied. For RN-SP-442, the page describes a cotton-lined gusset as an option; that wording does not confirm the composition of every order. Keep these as line-specific questions instead of general instructions for the whole assortment.
4. Copy this line-by-line record
- Line ID: [your fixed reference]
- Supplier SKU and URL: [exact catalog code and product link]
- Store SKU: [your code, or not assigned]
- Requested color and size: [reference and size-chart version if available]
- Quantity and unit: [number] [garments / pairs / complete sets, to be confirmed]
- Version: [catalog item unchanged / proposed changes attached]
- Open questions: [contents, material, availability or other missing detail]
- Supplier reply: [confirmed / alternative proposed / pending, with date]
For a worked starting point, create line A for RN-SP-442 and line B for PDD-970550137119. Leave quantities and sizes blank until your buying plan supplies them. Keep the gusset question on A and the included-pieces question on B. This is an example of record structure, not a suggested order or a supplier-approved assortment.
5. Reconcile the reply without losing the original request
Ask the supplier to answer using your line IDs. Record an alternative SKU beside the requested SKU rather than overwriting it. If one color is unavailable, preserve the original quantity and note the proposed replacement separately. Check both line totals and the counting units before you treat a revised quote as complete.
Give each revised inquiry a date and version. Mark removed lines as withdrawn in the new version and identify which version replaces the earlier one. Keep sample quantities separate from the proposed production order. Ask how minimum quantities apply to the selected styles, colors and sizes; one assortment total does not answer that question.
Questions to resolve before sending
Can I send links from several language versions?
Yes, but retain the supplier SKU and one chosen reference URL for each line. A translated name alone is not a reliable identifier. Ask the supplier to flag any code or page that does not match the intended item.
Does a complete sheet mean the order is accepted?
No. It is a request for review. Pricing, stock, permitted combinations, samples, packing and delivery still need confirmation for your project.
Send your mixed inquiry with the line sheet, target market and buyer questions. Clear references make it easier to return a quote in which every answer belongs to the correct product.
